MINISTER FOR FISHERIES — PORTFOLIOS — RECORDS MANAGEMENT AND ARCHIVING

1340. Hon Alison Xamon to the minister representing the Minister for Fisheries:

I refer to records management and archiving, and I ask:

(a)  for each of the last five financial years finishing 2016–17, for each Government agency within the Minister’s portfolio, could the Minister please provide the cost of records archiving services including:

(i)  collection;

(ii)  storage;

(iii)  retrieval; and

(iv)  destruction;

(b)  for each of the last five financial years, finishing 2016–17, for each Government agency within the Minister’s portfolio, could the Minister please provide the cost of records management consultancy services provided by:

(i)  the State Records Office; and

(ii)  private consultants and/or consultancy businesses; and

(c)  for each Government agency reporting to the Minister, could the Minister please explain the process by which records held offsite by third-party private companies can be searched and accessed by:

(i)  members of the agency;

(ii)  members of other Government agencies;

(iii)  members of academia; and

(iv)  members of the public?

(c) Department of Primary Industries and Regional Development (DPIRD)

(i)  The DPIRD Enterprise Document and Records Management Systems (EDRMS) are databases of records, searchable by our staff, with search limited via security clearances. On request to the Records Managers, records stored offsite are returned to site within 24 hours or, with authorisation, digitised on-demand by the third party private company.

(ii)  There is no method by which members of government agencies can directly search the Department’s records stored offsite by third party companies. The Department’s Information Statement provides information about the different types of records held by the Department and the procedures for accessing them. The Statement is publicly available and updated at intervals of no more than 12 months.

(iii)  There is no method by which members of academia can directly search the Department’s records stored offsite by third party companies. The Department’s Information Statement provides information about the different types of records held by the Department and the procedures for accessing them. The Statement is publicly available and updated at intervals of no more than 12 months. The Information Statement includes details of the DPIRD Libraries that hold DPIRD research publications.

(iv)  There is no method by which members of the public can directly search the Department’s records stored offsite by third party companies. The Department’s Information Statement provides information about the different types of records held by the Department and the procedures for accessing them. The Statement is publicly available and updated at intervals of no more than 12 months.
